2. What personal information we collect

Personal information is any information that relates to an individual. It does not include information where the identity of the individual has been fully and effectively removed (anonymous data).

We may collect the following personal information from or about you:

  • Name and job title
  • Contact information including email address and phone numbers
  • Demographic information, such as postcode, event preferences and interests
  • Video camera footage and photos if you attend one of our seminars which is recorded
  • The information you give us when you register for an online meeting or webinar and during the webinar. This could include recorded video, audio and chat data
  • Website usage data
  • Other information relevant to your enquiries
  • Other information pertaining to special offers and surveys that we run on our website.

Under data protection legislation, certain personal information is considered more ‘sensitive’ (e.g., information relating to race, religion, political affiliation and health). This is also known as ‘special category data’. The sensitive personal information we process includes information about a disability that you disclose to us if you are attending one of our events and need assistance.

We collect and retain personal information about you that you have given us in different ways, for example where you:

  • Provide your personal information to us through this website or online portal
  • Register for one of our events (i.e. in person seminars or an online meeting or webinar)
  • Attend one of our events
  • Subscribe to our mailing lists
  • Contact us via email, phone, in person or post
  • Where you engage with us via social media platforms
  • Respond to one of our a special offers or surveys
  • Access our website.  We collect personal information, relating to the way our website is used and navigated in order to better understand how visitors use this website and to present timely, relevant information to them.   • Provide information about your disability ahead of attending one of our events.

We may obtain this information from (i) third parties where you have told that third party that you are happy to share your personal information; (ii) publicly available sources such as your organisation’s website or social media sites such as LinkedIn; and (iii) third parties, for example from analytics providers such as Google Analytics.
 

4. Why we need your information and the legal bases we rely on

We will only use personal information when the law allows (i.e., where we have a ‘lawful basis’). Most commonly, we will use your personal information in the following circumstances:

  • Where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests. For example, we have a legitimate interest in undertaking activities that forward our purpose of being a resource to help businesses become more resilient and facilitating access to information and events for our membership. We also rely on our legitimate interests for our internal record administration, and to manage our operations.
  • Where it is necessary for the performance of a contract with you
  • Where it is necessary to comply with a legal obligation on us (for example, reporting to HM Revenue and Customs, Companies House or the Charity Commission).
  • Where you have given us your consent. For example, in the event that we collect information about a disability, we will seek your explicit consent. You have the right to withdraw your consent at any time although if you do so we may not be able to provide assistance for you at one of our events.

We do not carry out any automated decision-making using personal information which produces legal effects or otherwise significantly affects individuals.

5. Direct Marketing

If we are dealing with you directly (ie not as a representative of your business or employer) you may see one or more tick boxes allowing you to consent to receive marketing communications from us by email, telephone, text message or post.   For example, we may display these tick boxes to you when you fill in a contact form on our website.

6. How we share your personal information

7. International transfers of your personal information

The personal information we collect from you may be transferred to, shared and/or otherwise used by organisations or companies outside the UK or the European Economic Area (“EEA”). Where your personal information is transferred outside the UK or the EEA, we will take reasonable steps to ensure that appropriate measures are put in place to protect your personal information, for example, by entering into the appropriate safeguards under data protection legislation, such as (as relevant) the European Commission’s  controller-controller or controller-processor standard contractual clauses.

8. Retaining your personal information

We will not keep personal information for longer than necessary, and the appropriate retention period will vary according to the intended purpose for which we collected the personal information. For example, some information will be held permanently if required to comply with legislation and some information will be held for six years in line with statutory limitation periods.  After expiration of the relevant period, the information is routinely deleted, as long as it is no longer necessary for the fulfilment of a contract, or to protect or defend our position or that of a third party. In the event that you ask us to stop sending you marketing communications, we will retain certain details, such as your name, to help us ensure that you are not contacted again.

  • to request that we restrict the processing of your personal information;

To protect your privacy we will make sure your personal information is kept securely and disclosed only to relevant organisations or representatives who need to access it to perform their roles. We use appropriate organisational, technical and administrative measures to protect personal information within our organisation.  If you have reason to believe that your interaction with us is no longer secure, please immediately notify us in accordance with the “Contact us” section below.
